Quick phrases let you fire pre-set native-language sentences during a meeting; CrossMeet translates and pipes TTS through vMic. This guide covers creation, grouping, hotkeys, and best practices.

1. The problem it solves

Real-time meetings move fast. When you can't keep up to type "Thanks for joining the call today":

Typing slow → rhythm breaks
Translation errors → unprofessional
You forget the polite phrasing native to that culture

Pre-set phrases: one click → 0.5s later they hear the native expression.

2. Create a phrase

CrossMeet → Settings → Quick Phrases
Click New Phrase
Fill in:
- Label (button text, e.g. "Greet")
- Source text (your native version, e.g. "你好，感谢加入今天的会议。")
- Group (see below)
- Hotkey (optional, e.g. Ctrl+1)
- Auto-speak (checked = click sends TTS immediately; unchecked = insert into Compose Bar first)

3. Group examples

Organize by meeting stage / type:

Opening: greet, intro, agenda
Technical: repeat please, draw a diagram, pause, screenshot share
Business: quote, payment terms, contract flow, sample shipping
Closing: summary, follow-up email, thanks, goodbye

4. Trigger methods

Buttons: top quick-bar shows active-group phrases
Hotkeys: Ctrl+1 to Ctrl+9 trigger corresponding phrases
Numpad: Numpad 1-9 as backup
Voice command: experimental — say "send greet" to fire the phrase whose label contains "greet"

6. Relation to Compose Bar (interpret mode)

Quick Phrase: one-click full sentence, no editing
Compose Bar: free input + live translation preview + manual correction before sending

When Auto-speak is off, the phrase is inserted into Compose Bar for review — good for "default sentence with 1-2 word tweaks" (e.g. swap the date).

7. Best practices

Group by meeting type: don't dump everything in one
Keep default hotkeys: muscle memory > customization
Don't make them too long: over 30 chars feels verbose via TTS
Add cultural flourishes: e.g. "お疲れ様" for Japanese clients
Audit TTS occasionally: some phrases sound unnatural — rephrase the source

Enterprise customers can configure team-level phrase libraries from the Admin Console:

Each member's CrossMeet auto-syncs the team library (overrides personal precedence).

Q: Same phrase to different clients in different languages?

Create separate phrases per language and switch active groups
Or Settings → Quick Phrases → Multi-target pre-generates TTS cache in multiple languages

Q: Can I undo after sending?

No. Once TTS hits vMic, the other side has heard it
Tip: leave Auto-speak off and use Compose Bar for confirmation

Q: How to back up phrases?
